The mail server may still be running, SMTP ports may remain accessible, and no configuration changes may have been made, yet outgoing or incoming messages suddenly stop being delivered reliably. This is a recurring type of incident handled by the Unihost support team. In one such case, the customer reported that email had stopped working correctly even though no recent changes had been made to the mail-server configuration. The objective was to identify whether the problem originated from the mail server itself, DNS configuration, reputation, or an external spam-filtering service, and restore normal mail flow without rebuilding the environment.

Initial situation

The customer operated their own mail server for business correspondence. Normally, this improves spam protection. However, if a configured external filtering source becomes temporarily unreachable, responds incorrectly, or takes too long to answer, the behavior of the local mail server depends on how the spam-filtering rules are configured. In some configurations, a failed or delayed external lookup can interfere with normal mail processing. That means the apparent mail-server failure may actually originate outside the server.

What the Unihost team did

Checked the mail services

The first step was to verify that the core mail components were actually operational. The team checked: SMTP service availability, mail queues, service logs, DNS resolution, network connectivity, recent configuration changes, errors generated while processing messages. This helped rule out a simple mail-service crash or local network problem.

Traced the message-processing path

The next step was to determine at which stage messages were being delayed or rejected. Log analysis showed that the mail server was waiting for or receiving problematic responses from one of the external spam-filtering services used during message verification. The server itself was functioning, but the dependency in the anti-spam chain was affecting mail processing.

Isolated the problematic reputation service

The active DNSBL and anti-spam sources configured on the mail server were reviewed individually. The problematic Spamhaus lookup was temporarily removed from the active filtering chain. This was done as a troubleshooting and service-restoration measure rather than as a permanent reduction in spam protection. After the change, mail processing returned to normal.

Verified mail flow

The team then tested the complete email path again. Checks included: outgoing SMTP delivery, incoming message processing, mail queue behavior, response times, delivery to external providers, mail logs after the configuration change. This confirmed that the external reputation lookup had been responsible for the disruption.

Reviewed the remaining spam protection

Removing one filtering source should not mean leaving the mail server without protection. The remaining anti-spam configuration was therefore reviewed to make sure that other filtering mechanisms continued to protect the service while the problematic filter was disabled. Once the external service becomes reliable again, it can be reintroduced after testing.

Improving Email Deliverability

Restoring mail flow was only one part of the work. For mail servers, a successful SMTP connection does not necessarily mean successful email delivery.

A message can still:

be rejected by the receiving provider;

be deferred;

be classified as spam;

be accepted but placed in the junk folder.

The support team therefore also reviewed the surrounding mail configuration to identify common causes of delivery problems. Depending on the environment, this includes checking: forward and reverse DNS, PTR records, SPF, DKIM, DMARC, SMTP hostname and HELO/EHLO configuration, IP reputation, mail-server logs, queue errors, TLS configuration. The goal is to make sure that the sending infrastructure is technically consistent and that receiving mail providers have enough information to authenticate messages correctly.

Why this incident was difficult to diagnose

The main difficulty was that nothing obvious had changed on the customer’s server. When a service suddenly stops working after a configuration update, there is usually a clear starting point for investigation. External dependencies create a different failure mode. The local configuration can remain unchanged while one of the services it relies on begins responding differently. This is particularly relevant for mail infrastructure because a single SMTP transaction may depend on DNS resolvers, reputation databases, DNS blocklists, certificate validation, remote receiving servers and anti-spam services. The mail server therefore needs to be diagnosed as part of a larger delivery chain rather than as an isolated application.

Result

The affected mail service was restored without reinstalling or rebuilding the mail server. By identifying the problematic external spam-filter dependency and temporarily removing it from the active filtering chain, normal mail processing resumed. The broader mail configuration was also reviewed to improve delivery reliability and reduce the probability that legitimate business email would be rejected or classified as spam.

Results at a glance: mail flow restored, external spam-filter issue isolated, SMTP processing normalized, deliverability configuration reviewed, existing mail data and configuration preserved.

Email infrastructure can appear healthy while users are already experiencing serious delivery problems.
